A good AI writing workflow begins with something you want to say. The assistant can help organize it, find awkward sentences and offer a first draft. It cannot supply your experience, decide which business promise is true or know which detail your reader is waiting for unless you provide that context.

The practical goal is a piece that is accurate, specific and easy to read. Judge the result by whether a customer understands the offer or an article answers the question.

A conversational assistant is useful for discussing an outline or revising a section against a brief. A writing assistant can help with sentence-level changes in the place you already work. A workspace assistant is useful when the source notes and the final document live together.

Prepare a brief with actual material

Include the reader, purpose and desired action. Then provide the facts the writing must use: the product details, the decisions made, the figures or the examples. If information is missing, tell the assistant to leave a question rather than complete it with a plausible guess.

For a customer email, a useful brief might be: explain the delivery delay to someone who has already placed an order; use the revised date supplied below; acknowledge the inconvenience; give the support contact; keep the message direct and under a few short paragraphs. This is much stronger than “write a professional email.”

Also describe what your tone means in practice. “Friendly” can produce enthusiastic language that does not suit a serious message. A clearer instruction is to use ordinary words, state the issue in the first paragraph and avoid promises beyond the supplied facts.

Separate the outline from the draft

Ask for the main points before asking for finished prose. Check whether the sequence answers the reader’s question. If the outline is weak, adding more paragraphs will usually make the problem harder to see.

For an article, choose one main purpose for each section. A comparison might explain the available approaches, the decision criteria and a repeatable test. A tutorial might show the starting material, the steps and the checks that confirm the result. Keep those structures tied to the subject instead of applying the same headings to every page.

When reviewing an outline, look for the missing practical detail. Does it explain what the reader should do next? Does it cover the format they need to export? Does it distinguish a free trial from free ongoing use? These gaps often matter more than another broad introductory section.

Edit for substance before style

Read the draft once for facts and once for meaning. Check names, dates, measurements and claims against the original material. Mark any sentence that makes a promise the business has not approved. Replace unsupported statistics with evidence or remove them.

Then inspect the argument. A paragraph should develop a point, not merely introduce the heading above it. If two sections say the same thing with different words, combine them. If the text says a tool is useful, explain the task that makes it useful and the limitation a reader should consider.

Keep uncertainty where it belongs. “The tool can prepare a draft” is different from “the tool creates accurate finished content.” The first describes a capability; the second makes a quality claim that needs evidence. Clear qualifications can make a page more useful without filling it with generic warnings.

Keep the details that make the writing yours

Natural writing comes from a clear thought and specific context. Add the example only you can supply, the question a customer actually asked or the practical detail that changed your decision. Do not invent an anecdote to make a generated draft sound personal.

Use the assistant as an editor with a defined task. Ask which sentence is unclear, where the article repeats itself or whether the introduction delays the answer. You can accept the diagnosis without accepting every suggested rewrite.

Read the result aloud. If a sentence is harder to say than it is to understand, shorten it. Keep ordinary contractions where they fit, vary sentence length according to the idea and remove phrases that sound grand but carry no information. Readability comes from making the thought easier to follow.

Prepare the page for readers and search

Give the page a title that accurately describes its subject. Put the answer or value early, use headings that help a reader navigate and link to related material where it supports the next decision. A useful meta description explains what the page helps someone do; it does not need a string of repeated keywords.

There is no universal word count that makes an article rank. Google’s helpful content guidance explicitly rejects the idea of a preferred word count. Use enough detail to answer the subject well. A complicated workflow may need examples and a table; a narrow definition may need much less.

Before publication, check the page on a phone, follow the links and inspect the title and description. Keep the update date honest. If a product feature changes, revise the relevant explanation rather than replacing the year in a heading and calling the whole article refreshed.
